N-ERGISE is excited to announce a new opportunity for a HR Coordinator to join our team on a fixed-term basis of 12 months.
Main purpose of job: Support the hiring process to ensure smooth day to day HR operations.
Relationships
Responsible to: Managing Director
Responsible for: Recruitment Support, Onboarding/ Offboarding, HR Administration, Employee Support, Compliance and Reporting.
Liaison with: All company stakeholders.
Main tasks of job:
Key Responsibilities:
Recruitment
· Posting job vacancies on job boards and platforms such as Linkedin and Indeed.
· Monitoring applications, reviewing CV’s and creating candidate shortlists based on job requirements.
· Liaising with the projects team to understand role requirements/ timelines and sourcing personnel for individual projects.
· Communicating with candidates.
· Liaise with clients to arrange logistics of personnel mobilising.
Onboarding & New Starter Management
· Preparing employment contracts, offer packs and pre employment documentation.
· Conducting pre employment checks such as references and right to work verification.
· Setting up new employees on Share Point training matrix and ensuring previous records added are kept up to date.
· Coordinating inductions, training sessions and welcome packs.
· Acting as main point of contact for all new hires.
· Ensuring any new candidates meet project requirements with the relevant training such as GWO/ Chesterstep.
· Booking overnight accommodation and travel whether this is using the companies appointed travel consultant or the internet.
· Manage PPE requirements for personnel including issuing sizes to stores and arranging delivery to work site.
· Applying for Visa’s in line with project requirements.
· Regularly update company personnel tracker with mobilisations of crew.
Employee Support & HR Operations
· Responding to day to day HR queries such as annual leave, company policies, benefits and company procedures.
· Supporting absence management through using the Bradford Factor and Charlie HR to monitor sickness and annual leave.
· Assisting with all employee relations.
· Review and implement HR policies and procedures to ensure employees have an understanding.
Payroll & Benefits
· Collecting and validating payroll data such as employee attendance, absences and new starters/ leavers.
· Liaising with the accounts department to provide payroll information where required.
· Handling changes in employee status that might affect their pay.
Compliance, Reporting & Process Improvement
· Ensuring the company HR processes align with all new employment laws and policies.
· Supporting the HSEQ Manager with compliance checks and audits.
· Supporting HR projects such as policy updated and system implementations.
· Raise purchase order on Xero and update the PO register.
Requirements:
· Experience: Minimum of 2-3 years of recruitment experience, with a strong focus on the energy sector (oil & gas, renewables, utilities, etc.).
Skills:
· Strong understanding of energy industry-specific roles, technical qualifications, and workforce challenges.
· Proven experience using SharePoint.
· Exceptional communication skills, with the ability to engage and influence candidates and stakeholders at all levels.
· Ability to manage multiple recruitment processes and prioritize in a fast-paced environment.
· Knowledge of energy sector regulations, safety protocols, and certifications relevant to various positions.
Preferred Qualifications:
· Experience recruiting for specialized roles in renewable energy, oil and gas, or utility services.
· Familiarity with energy certifications, technical requirements, and industry standards (e.g., NEBOSH, OPITO, GWO, ISO).
· Strong network within the energy sector, including contacts in professional associations, trade groups, and industry forums.
· Multilingual abilities, particularly if recruiting for global energy positions.
· CIPD Level 3 would be advantageous.
